Administrative Assistant (Project Management)
Produces correspondence and documents of a complex nature using multiple software packages (i.e., MS Word, PowerPoint and Excel). Will produce final product of documents including printing, copying, collating, folding, binding and coordinates client delivery.
Proof, format and link client financial statements.
Inputs, formats and revises complicated documents.
Proofs, edits and checks the work of others for completeness, accuracy and formatting. Verifies that the project follows the style and branding guide and the format is correct.
Provides advanced administrative support, including but not limited to filing, archiving, correspondence, calendar management, faxing, preparing and distributing documents, and photocopying. Routinely handles both internal and external confidential correspondence, financial reports, and other information.
Serves as a resource for staff who have questions regarding administrative policies and procedures
Process receipt of audit confirmations and communications
Process Federal Single Audit filings for uploading to Federal Audit Clearinghouse
Interact with Audit and Accounting team members to accurately process client deliverables including financial reports and auditor communications (both hard copies and electronically).
Prepares F.O.I.L. requests to acquire needed information for governmental proposals; gathers and maintains bidders' information for tracking spreadsheet.
Prepare, process, proof and finalize all A&A external proposals
May prepare monthly bills for A&A Team members
Serves as back-up for Administrative Coordinator
May operate as part of the front desk relief rotation and department mail delivery as needed.
Will perform special administrative projects for the A&A team as determined.
Acts in a professional manner in all client and team interactions
May assist with other firmwide or department duties as needed.
