Payroll Coordinator II (Administrative)



PRIMARY PURPOSE:

Under minimal supervision, this position is responsible for the preparation and distribution of system-wide payroll and associated tasks in a timely, accurate and confidential manner.

DUTIES AND RESPONSIBILITIES:

  • Performs all assigned duties in compliance with internal SOPs and external regulations. Brings compliance issues to the attention of management.
  • Assures quality customer service to all internal and external customers.
  • Updates procedures and standard operating procedures. Assists with training of payroll and HR staff on process and procedures.
  • Ensures timely and accurate processing of system-wide payroll for assigned area of responsibility.
  • Responds to outside agencies and insurance carriers involving employee records.
  • Responds to inquiries and provides guidance regarding company policies and government regulations.
  • Oversees the verification of time records for compliance, accuracy, and completeness for assigned area of responsibility
  • Processes manual checks, wire transfers, and reversals and stop payments. Communicates manual check information to operating unit.
  • Responsible for administration of voluntary and involuntary payroll deductions (e.g., garnishments, child support, 401k and Heart Fund).
  • Prepares, reports, transmits, and reconciles payroll system data.
  • Participates in year-end closing process and processing of W-2's.
  • Resolves employee concerns regarding wage payments and associated taxation or other deduction issues.
  • Calculates and/or validates special distributions (e.g., terminations, relocation, education assistance, bonus payments).
  • Performs all other duties, at the discretion of management, as assigned.

REQUIREMENTS:

Knowledge/Education

  • Associate's degree or equivalent experience and/or education in related area required.
  • Knowledge of payroll functions required including federal and state wage and hour, payroll and tax regulations.

Licenses/ Certifications

Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP) preferred.

Experience

  • Four years related experience required. To include:
    • Three years payroll experience.
    • HR/Payroll/Timekeeping systems experience (i.e. Oracle, Kronos, ADP.

  • Must maintain strict confidentiality.
  • Strong computer skills (Office 365, Excel, Word, Outlook).
