Administrative Assistant (Bilingual Preferred) (Administrative)



LifeWorks of Austin, TX is looking for an Administrative Assistant to join our Housing program and provide direct assistance to our Chief Program Officer. The Administrative Assistant provides direct administrative support and assists with general office operations. This role helps ensure the CPO's effectiveness by managing schedules, communications, and documentation, while also contributing to smooth day-to-day office functions.

This full time, non-exempt position earns a competitive rate of $22/hr. Benefits are also included, which consist of 24 PTO days per year (accrued); 11 paid holidays per year; a premium-free employee medical plan with $100 per month HSA contribution (plus other affordable employee or family medical, dental, and vision options!); a retirement savings plan with 50% match on the first 6% of contributions, and much more!

RESPONSIBILITIES

  • Provides administrative support to the Chief Program Officer, including scheduling, calendar management, meeting coordination, and travel arrangements.
  • Drafts and prepares correspondence, reports, presentations, and other documents on behalf of the CPO.
  • Coordinates internal and external meetings, including agendas, materials, logistics, and follow-up on action items.
  • Organizes and maintains confidential files, records, and documents for the CPO and program leadership team.
  • Manages incoming communications (emails, calls, requests) for the CPO, prioritizing and routing appropriately.
  • Tracks deadlines, deliverables, and projects to ensure timely follow-up for the CPO.
  • Assists with program budget tracking, expense reporting, and financial documentation as directed by the CPO.
  • Reviews and processes timecards, staff reimbursements, and expense reports for accuracy and approval routing.
  • Supports agency-wide initiatives and special projects led by the CPO.
  • Provides office support by maintaining supplies, coordinating mail distribution, and troubleshooting office equipment.
  • Helps coordinate logistics for staff meetings, trainings, and organizational events.
  • Sets up and prepares meeting spaces and special events, ensuring necessary materials, equipment, and refreshments are in place.
  • Serves as a professional point of contact with internal staff, board members, vendors, and external partners.
  • Interact regularly with agency staff, volunteers, donors, board members and / or client populations in a respectful and confidential manner with a high degree of customer service etiquette.
  • Provides back-up administrative support to other leadership staff as needed.
  • Performs other administrative duties as assigned.
  • May require occasional evenings or weekends for special events.

QUALIFICATIONS

  • Requires a high school diploma or equivalent;
  • Requires 2 years of related administrative experience; or
  • Equivalent combination of education and experience.
  • Proficient in Microsoft Office including Excel, Word, Outlook, Teams, and D365.
  • Bilingual in English and Spanish, preferred.
