Administrative Assistant III (Finance)
We are looking for an Administrative Assistant III to provide administrative and operational clerical support for 4 Direct Reports to SVB's Head of Corporate Strategy and Innovation and their teams. This position will also support the broader Strategy & Innovation Team's needs in our San Francisco Office.
This position will report to the Division Support Manager and work extremely closely with and back up the Assistant to the Head of Strategy and Innovation.
Responsibilities will include: Maintaining extremely heavy Outlook calendars, including scheduling/calendaring complex meetings; Inputting data and submitting expense reports; Coordinating logistics and acting as an on-site contact for business unit events, including Staff Meetings & Offsite Meetings; Making travel arrangements and managing travel logistics; Acting as a liaison with the Procurement & AP Teams - budget/project expense tracking, submitting invoices, creating PO's, etc.; Approval management in multiple systems, such as team member's expense reports and IT requests; Scheduling interviews for open roles; Onboarding new team members; Researching and solving issues as they arise; Assisting in developing presentation materials (e.g. PowerPoint) and proofreading presentations to ensure there are no errors before they are presented; Assistance on projects and tasks as needed; General administrative duties for the expanded team as necessary.
Responsibilities will also include: Attending weekly Admin-Team Staff Meetings; Working with Marketing & Strategy Administrative Team for all-team events, such as offsite meetings, volunteer events and All Hands meetings.
High School Diploma or equivalent work experience desired. A minimum of 3 years of responsible administrative support in a dynamic, fast-paced environment.
Must be able to travel (around 10%) to attend offsite meetings in alternate locations, all within the Bay Area.
Must have strong written and verbal communication skills and a professional and positive demeanor. Must be able to work under general supervision and usually on own initiative. Excellent verbal and written communication skills. Proven problem solving ability with challenging deadlines. Excels in a team environment and is a proven team player. Ability to anticipate change and react efficiently and expeditiously. Maturity to handle multiple (multitasking), changing, and confidential issues. Ability to communicate effectively with senior executives and their Assistants. Must excel under pressure and with changing deadlines. Ability to prioritize and respond to multiple requests. Must be proficient with the Microsoft Office Suite / Office 365.
