Care Coordinator - Scheduling Operator (Healthcare)
Schedule new patients per MD, clinic/therapist or payer requirements
Proper new patient intake with all required info
Document scheduling issues and get the appropriate team member involved with scheduling issues.
Complete new patient communication and template.
Cancel Reschedule or schedule existing patients when routed to Care Coordinators line or during times of call forwarding per MD, clinic/therapist or payer requirements.
Document scheduling issues and get the appropriate team member involved with scheduling issues and/or patient concerns arise.
Document cancellations in appointment notes
Enter new referrals into system and document attempts to call into patients notes.
Follow up on new patient referrals timely as outlined daily by Lead centralized scheduler.
Respond to faxed referrals timely.
Monitor emails and monitor emails from DPT website for appointment requests.
Transfer calls to the appropriate staff/Dept.
Take phone messages when needed (staff is not in the office)
Deliver phone messages timely.
Communicate with all necessary departments in relation to VIP referrals or scheduling trends per region.
Run new patient reports or call metrics per management requests when Lead Centralized Scheduler is out of office.
Back up front desk/scheduler for remote locations, new MD's or new acquisitions.
Process payments for active patients over the phone.
Connect with Lead Centralized scheduler on call volume, quality of calls, feedback from patients and general items that impact the day to day while on the call queue.
Additional responsibilities/assignments as outlined by FDC Manager and/or Lead centralized scheduler.
