Benefits Specialist (Project Management)

The Benefits Specialist role is responsible for providing benefit program support to both Regional and Global Aesthetic employees. As part of our Total Wellness team, you will support benefit events and new program launches, assist employees with benefit questions, and partner with internal and external stakeholders to ensure successful benefit program administration.

Essential Duties and Responsibilities 

  • Manage employee Leave of Absence (LOA) process: Counsels' employees on leave of absence process and benefits available including the Family Medical Leave Act, Paid Time Off (PTO), short-term disability benefits, and Paid Parental Leave. Manage vendor partner and review and track Family Medical Leave and disability benefit determinations. Calculate payment due to employee on leave of absence and provide payment instructions to payroll. Follow up as needed with employee and manager on expected return-to-work date. Update employee status in UltiPro as needed.

  • Produce weekly e-newsletter: Source relevant, timely, and engaging health and wellness content for weekly employee facing e-newsletter; Produce and distribute weekly employee facing e-newsletter; Track and report metrics.
  • Manage benefits email inbox:

    • Respond to employee inquiries within 72 hours

    • Ensure all employee questions/issues are resolved appropriately
    • Escalate employee questions/issues as needed
  • Maintain department annual planning calendar: Compile health and wellness annual areas of focus and key topics; Incorporate employee-facing events; Edit and update planning calendar as needed.
  • Produce employee reporting: Compile census and employee reports as needed; Review reports for accuracy.
  • Create and distribute benefits communications: Responsible for creating and distributing employee-facing communications
    • Ensure adherence to corporate and regional style guides
    • Tailor communications for various employee audiences (sales reps, office employees, manufacturing plant employees, etc)
  • Manage benefit-related invoices and contracts: Acts as key contact for Total Wellness team for all invoices and contracts
    • Audit and process benefit vendor invoices. Ensure timely payments
    • Reconcile invoices as needed
    • Manage and direct all benefit-related contracts and agreements through contract approval system
  • Administer Education Assistance Benefit: 
    • Educate employees on benefit and provide them with required paperwork
    • Collect, review, and process education reimbursements.
    • Provide payroll with required reporting
  • Administer Fitness Membership Benefit:
    • Educate employees on benefit and instructions on how to enroll
    • Ensure employees sign liability waiver prior to participating in benefit
    • Collect, review, and process monthly utilization reports and invoices for employees and executives
    • Provide payroll with required reporting
  • Oversee annual award submissions:
    • Act as key contact for annual award submissions
    • Collect data, quotes, and other info as needed from stakeholders
    • Submit award applications annually as needed
    • Provide redacted benefit info for HR award submissions as needed
  • Schedule team and committee meetings:
    • Work with vendors to identify dates/times for recurring and ad-hoc meetings
    • Schedule quarterly and annual committee meetings in advance of calendar year
  • Support special projects as needed: Support Total Wellness and CORE teams with program launches, events, and special projects as needed

Job Related Qualifications/Skills

Professional Experience

  • Required:
    • 2+ years HR or Benefits experience
    • Ability to work independently within defined policies and procedures
  • Preferred:
    • Experience with UKG/UltiPro

  • Required:
    • Excellent customer service skills
    • Initiative to problem-solve and bring forth solutions
    • Enthusiastic with ability and desire to champion health and wellness initiatives
    • Self-motivated with ability to focus and manage competing priorities and deadlines
    • Ability to learn quickly and adjust to rapidly changing work environment
    • Strong verbal and written communication skills; Must be comfortable picking up the phone and calling employees and vendors to resolve issues
    • Strong computer/technical skills

Education 

  • Required:
    •   BA/BS Degree in Human Resources, Business, or related field
  • Preferred:
    • PHR or SHRM-CP certification
    • CLMS certification
