Description
The administrative support personnel shall provide administrative support services to include, but not limited to:

  • Handling mail
  • Using PC applications (including Word, Excel, Access, mail merge)
  • Performing ongoing office operations including correspondence, ordering supplies, and file management.
  • The administrative personnel shall have good oral and writing skills, and be able to discuss work related tasks.
  • The administrative support personnel will be asked to support any group located under the oversight.
  • The subject personnel shall have the skills, qualifications, knowledge, and level of experience to independently perform the duties identified outlined, with minimum supervision and guidance from personnel.

The Contractor shall perform the following tasks:
  • Prepare paperwork for office supplies and obtain them for SNAP employees.
  • Create award certificates, as needed.
  • Notify Unit/Branch/Division Supervision timeliness issues regarding pending assignments.
  • Prepare items for mailing.
  • Sort, process, and distribute incoming mail.
  • Review and edit correspondence for conformance with appropriate rules, grammar, format, assembly, and correspondence policy.
  • Receive telephone calls, e-mails, and visitors and USDA staff, other government and private organizations, and members of the public as appropriate.
  • Tactfully ascertain the nature of the inquiries, and when possible, furnish the requested information, process it as appropriate, and/or refer to the appropriate program area.
  • Prepare necessary correspondence, agendas, handouts, etc. as needed.
  • Enter data into Microsoft Access or other data bases as needed, and mange Microsoft Excel spread sheets as needed.
  • Maintain filing systems, both electronic and hard copy documents.
  • Ensure that office equipment is in working condition and equipment parts are replaced as necessary.
  • Create and manage file folders.
  • Copy, fax, and scan documents.
  • Provide other types of administrative assistance to the organizations as directed.

Qualifications

  • A minimum of 4 years consecutive office experience and a high school diploma or equivalency.
  • Working knowledge of MS Office suite applications (Word, Excel, Outlook) required.
  • Strong organizational, time management and communication skills, written and oral, required.
  • Attention to detail and a sense of urgency is a must.
