Under the general supervision of the Director of Administration, the Head of Business Development and Human Resources is responsible for the overall planning, organizing, and execution of human resources, business development/marketing and office services functions at Stafford Rosenbaum LLP. In addition to executing human resources initiatives and activities, the individual in this role helps identify new business opportunities, implements business development initiatives, programs, seminars and other client development events, and works with practice groups and individual attorneys to create and carry out business development plans. The position includes managing the Office Support Department, which includes supervising daily support operations and developing programs and processes designed to allow the law firm to operate smoothly and efficiently. The Head of Business Development and Human Resources plans and controls the Office Services, Office Operations, Business Development and Marketing budgets and carries out policies relating to all phases of human resources, business development and administration activities by performing the following duties personally or through subordinate employees.

SUPERVISORY RESPONSIBILITY:
This position manages all receptionists, library assistants, and office services assistants (OSAs). They are responsible for interviewing, selection and training; setting and adjusting rates of pay and hours of work; planning and directing work; and performance management. Recommendations regarding promotions or other status changes are given significant consideration.
HUMAN RESOURCES AND BENEFITS ADMINISTRATION
Recruit, interview, screen and extend offers to non-exempt staff position candidates.
Work with and support the Director of Administration and Board of Directors – Human Resources in the oversight of hiring and managing the firm’s associate attorneys and paralegals
Plan and conduct new employee orientations to foster positive attitude toward firm goals.
Manage and maintain the firm’s Human Resource programs: iSolved and TimeForce.
Maintain current and comprehensive electronic personnel records.
Train and develop staff.
Develop performance management plans and conduct performance evaluations for receptionists, office services/accounting assistant, library assistant and OSAs.
Keep record of insurance coverage, retirement savings 401(k) plan and personnel transactions such as hires, promotions, transfers, performance reviews and terminations. Maintain employee database and process personnel and benefits-related paperwork.
Perform new hire and termination of employment checklist activities.
Prepare COBRA and FMLA paperwork and track FMLA hours.
Oversee personnel recognition programs.
Respond to outside requests for employment related information such as employment verifications and reference checks.
Apprise the Director of Administration of any personnel issues requiring attention.
Assist with administration of performance evaluation programs.
Review timesheets for accuracy.
Visit firm offices on a regular basis and establish solid relationships with attorneys and staff.
BUSINESS DEVELOPMENT
Provide guidance and proactive recommendations for the development, implementation, and ongoing preparation, review, and updating of marketing and business development plans, materials, and programs.
Initiate, direct, and provide marketing and business development support for Practice Area Teams and individual attorneys.
Provide coordination, direction, and oversight for practice area and firm conference sponsorships and meet & greet events.
Implement partnering relationships with professional organizations, industry associations and educational institutions in order to identify leadership positions, speaking and conference opportunities and sources of referrals for attorneys.
Meet with individual attorneys on a regular basis to set business development goals, check progress, make suggestions, and offer assistance for the attainment of those goals.
Draft press releases and distribute to media contacts.
Assist attorneys to complete RFPs; maintain RFP files.
Draft cross-marketing letters, descriptions of practice areas, and other promotional materials, as requested.
Draft SOQs for new attorneys. Revise SOQs; maintain SOQ files.
Maintain the firm’s blogs and social media presence.
Coordinate tables for sponsorship events and assist attorneys in filling the tables.
Maintain an up-to-date firm-wide business development events calendar.
Prepare and monitor the firm’s business development and marketing budget.
Undertake firm-wide projects as assigned.
WEBSITE:
Maintain and update firm website. Confer with attorneys and staff for content development and revision.
Upload relevant content to the firm’s intranet and internet websites.
Coordinate with website provider to improve website.
Monitor and renew website domain names owned by the firm.
INTELLIGENCE GATHERING:
Monitor internet and news alerts on attorneys, staff, and competitive intelligence.
Maintain general awareness of marketing efforts by competing law firms.
DIRECTORIES/LISTINGS:
Coordinate Chambers USA, Best Lawyers in America, Wisconsin Super Lawyers and Rising Stars nominations and requests for information.
Prepare and update the firm resume, statements of qualification, firm brochure, announcements, and listings in publications.
Respond to survey requests and inquiries to/from GGI, as directed.
ADVERTISING:
Handle communications with advertising representatives, including, but not limited to, Brava; Business Watch; InBusiness; Madison Magazine; Milwaukee Magazine; The Business Journal; The League of Wisconsin Municipalities; Wisconsin Counties Association Magazine; Wisconsin Law Journal; Wisconsin Towns Association Magazine; Wisconsin Woman; local newspapers.
Draft and revise advertisements.
Obtain internal approvals and submit advertisements to publications.
Coordinate advertising contracts.
Recommend topic/attorney focus for government law team ads to government law team leader.
OPERATIONS
Supervise receptionists, office services assistants (OSAs), and library assistant.
Determine and assign coverage for staff that is out of the office each day.
Coordinate and regulate workflow and staff workload including the approval of time worked, time off requests and monitoring overtime.
Assist in maintaining documentation of standard operating procedures related to firm policies and procedures. Participate in Process Improvement Committee meetings.
Prepare agendas and minutes for regularly scheduled staff meetings.
Participate in staff and practice team meetings.
Provide oversight and direction for food orders and preparations for firm events such as Lunch ‘n Learns, Partnership Meetings and Social Committee events.
Coordinate and submit attorney applications and dues for the renewal of membership in the ABA, State Bar, Dane County Bar, and other legal associations as appropriate.
INSURANCE
Complete insurance applications, as needed.
Review invoices for life and disability insurance policies and update benefit coverages associated with salary changes.
OFFICE SYSTEMS, FURNISHINGS, EQUIPMENT
Oversee the purchase, storage and distribution of all office supplies.
