Executive Administrative Assistant (Education)
Administrative and day to day operational support for CEO and supervision for administrative support for CFO and COO. This support will allow the C-suite to be maximally effective every day. Represent the CEO with professionalism, in all communication with employees, customers and investors.
Manage the calendar for the CEO – Partner with the CEO on how he would like to manage his calendar. Seek to understand the purpose and value of time requests to help the CEO prioritize his time. Partner internally and externally to coordinate meeting dates/time/locations, associated travel, required set up and catering, development and circulation of agendas, preparation of required materials and timely follow up.
Meetings, events and travel – Charged with all C-suite and ELT meeting planning and logistics as well as ELT offsite meetings. Coordinate all C-Suite travel with other administrative assistant and communicating to all involved parties. Ensure all investor meetings are included on all necessary calendars. Collaborate with events and communications teams regarding companywide event planning, yearly leadership summit, etc. Collaborates with Board Administrator on company calendar to ensure C-suite runs smoothly.
Budget Planning and Management – Work with FP&A to create and manage annual budgets for CEO, COO, CFO. Process all invoices necessary. Submit monthly budget accruals to accounting and submit reforecasting quarterly budgets to FP&A.
General office – Manage all incoming correspondence, including email and mail, represent the office of the CEO both internally and externally. Act as liaison between departments to facilitate communication at the executive level. Conserves CEO's time by reading, researching, routing correspondence. Manage Executive Administrative Assistant to ensure the office runs smoothly. Works with facilities and to ensure the executive suite and campus are well maintained.
