Senior Administrative and Finance Assistant (Project Management)
Maintain regular contact with the VP of Administration and the CEO regarding ongoing projects with the board of directors, and committees, as assigned and assist with meeting strategic goals, objectives, and timelines
Manage the work of several committees by serving as staff liaison as assigned
Prepare for committee and board meetings well in advance, working closely with the senior staff, and prepare meeting summaries and reports accurately and in a timely fashion
Manage all aspects of Board and related Committee support for the VP of Administration and the CEO
Maintain all Board administration and governance documentation. Assists the VP of Administration and the CEO to execute Board development and recruitment plans
Coordinate strategic planning efforts on behalf of the Board, CEO
Administer Board meetings, deadlines, and upcoming special events
Assist the VP of Administration and CEO with preparation and tracking of all Board related agenda items, motions and actions.
Maintain the collaborative workspace for Board and related Committees and Board-related documents on staff shared site
Executive Administration / Administrative Support:
Provide general administrative support to the CEO and Executive Team including email and letter correspondence
Maintain Microsoft Outlook calendars both shared and personal
Answer phones as needed
Book travel and reservations for Executive Team
Edit PowerPoint slides or other materials for speeches
Assist in managing and organizing events like media/influencer tours, member meetings, and technical committee meetings (send invitations, collect and track RSVPs, organize and provide materials to participants)
Manage production of business cards, letterhead and envelopes
Manage digital files
Provide back up and support for sending out newsletters and marketing e-mails as needed
Welcome guests and visitors to the office
Filing/scanning/organization of all documents
Prepare and modify documents including correspondence, reports, drafts, memos and emails.
Update basic content for the company website including speeches, staff biographies and other important materials
Finance:
Process complex bi-weekly payrolls for various employee groups, ensuring timeliness, accuracy, and compliance with policies and regulations
Enter data in HRIS for new and existing employees
Assist with payroll-related research and analysis
Assist employees with payroll-related questions and issues, demonstrating customer service excellence
Investigate and resolve payroll discrepancies, in accordance with policies and regulations
Maintain in-depth knowledge of payroll-related regulations
Compile various reports and spreadsheets
Process garnishments and other payroll related correspondence
Prepare deposits
Process cash receipts
Create invoices
Prepare and submit routine tax forms
Other duties as assigned
Minimum Qualifications (Education, Experience, Skills):
Excellent written and oral communication skills
Strong technological and mathematical skills
MUST have strong attention to detail and excellent time management skills
Interpersonal and customer service skills
Ability to exercise good judgment and discretion in handling confidential and/or sensitive material
Ability to prioritize and coordinate projects and tasks efficiently; ability to regularly meet tight deadlines
Ability to work in an environment of frequent interruptions
High school diploma or equivalent (Required)
Associates Degree or higher (Preferred)
Background in accounting and payroll (Preferred)
Intermediate level skills with Word, Excel, and PowerPoint (Required)
Advanced level skills with Word, Excel, and PowerPoint (Preferred)
MUST have a positive attitude and willingness to learn and contribute as part of a dynamic team
Ability to maintain harmonious and effective working relationships with other employees, supervisor and other departments
