Facilities Project Coordinator (Project Management)
Responsibilities:
Project Coordination & Execution
Assist in the planning, execution, and completion of short-term facilities-related projects.
Coordinate with the Facilities and Construction teams to track project timelines, deliverables, and budgets.
Ensure project milestones are met while maintaining quality and safety standards.
Identify potential project risks and collaborate on mitigation strategies.
Maintain project documentation, including schedules, reports, and contracts.
Cross-Functional Collaboration
Act as a liaison between Facilities, Construction, and other cross-functional teams to ensure seamless communication and project alignment.
Support internal teams with facility-related needs, such as office moves, equipment installations, or space modifications.
Work with vendors and service providers to obtain quotes, schedule services, and oversee contractor performance.
Cafeteria Operations Management
Serve as the primary point of contact for our internal Cafeteria team, ensuring smooth operations and addressing facility-related concerns.
Coordinate maintenance and improvement projects within cafeteria spaces.
Collaborate with the Cafeteria team to ensure compliance with health and safety regulations.
Administrative & Reporting Duties
Monitor project budgets, invoices, and vendor contracts.
Prepare reports and updates for leadership regarding project progress and facilities-related initiatives.
Ensure compliance with company policies, safety standards, and regulatory requirements.
Required Qualifications:
High school diploma or an equivalent combination of education, training, and experience
1-3 years of experience in facilities management, project coordination, or construction.
Strong organizational and project management skills.
Excellent communication and interpersonal skills to effectively work with various stakeholders.
Ability to manage multiple projects simultaneously and adapt to shifting priorities.
Experience working with vendors, contractors, and service providers.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and project management tools.
Familiarity with facility operations, maintenance, and workplace safety standards is a plus.
Familiarity with applicable codes, ordinances, and regulations regarding the building industry
Work Environment:
Must be able to sit for prolonged periods and work at a computer without reasonable accommodation.
Able to periodically walk through cold warehouse environment (36F 38F).
Must be able to lift a minimum of 25 pounds at times
Ability to work extended hours as needed
Ability to work weekends and holidays as needed
