Post Sales Operations Specialist (Project Management)
Customer Order Tracking: Once a purchase order has been processed, create and maintain the customer's Order Tracking Summary and manage any shipping delays, expedites and issues that arise. Communicate status to the customer, partner account manager and internally.
Post Sales Status: Maintain order tracking spreadsheet with updates on all post sales activities and apprise Operations team on any issues that arise and affect presales activities.
Customer Order Processed Confirmation: Send customer confirmation that order was processed, details on order/initial summary and next steps. This is optional and should be done at the direction of the Sales Ops Team Lead.
Distribution Order Confirmations: Once order has been processed by distribution, add distribution order numbers to QuoteWerks (QW), cross check all costs, and update the order in QW and QuickBooks (QB) as needed. Update the server packet and relink to Salesforce. Work with Finance to ensure any erroneous shipping charges are rectified.
Customer eDeliveries: Manage all incoming eDeliveries by sending them to the customer, posting the date sent on the relevant Order Tracking Summary and posting a copy in the customer client folder for reference.
Maintenance Audits: Post processing of maintenance orders by ensuring that the required information is added from Cisco Service Contract Center (CSCC) and accurate in QW.
Order Issues: Main contact for post order placement issues. Some examples may include: portions of order not fully processed at distribution, missing eDeliveries, maintenance contract access, maintenance not fully registered.
Returns: Primary contact for customer and internal returns. Submit Return Maintenance Authorization (RMA) requests, update RMA Stats spreadsheet, coordinate status updates to customer, Aspire account managers and partner account manager. Ensure successful completion and closure of RMAs.
Shipping / Receiving: Receive customer and internal deliveries. Log to related order tracking summary, label boxes for storage in Inventory Room, notify Aspire Professional Services of arrival by sending order tracking summary. Handle any reshipments of customer or internal equipment as necessary and ensure all shipment information logged on respective order tracking summary. Prepare internal shipments of documents or equipment for company employees and arrange for pick up by carrier or deliver package to local FedEx office. Maintain shipping supplies.
Reception Support: Main contact for visitor access and answering Aspire's main phone line. May be asked to order/set-up lunches for company or customer meetings and/or run errands offsite.
Completes compliance training by due date
OTHER SKILLS and ABILITIES:
Knowledge of networking technology, servers, storage, Cisco and/or EMC products a plus, but not a requirement?
Attention to detail and ability to work with a high degree of accuracy a must
