Fleet Coordinator (Administrative)
The Fleet Coordinator is responsible for supporting warehouse and fleet operations under the direction of the Warehouse Manager. Key responsibilities include vehicle and equipment maintenance, inventory management, facility upkeep, and logistical coordination. This role is vital in ensuring that company assets are organized, maintained, and compliant with all applicable safety and operational standards.
General Duties:
Serve as a professional ambassador and spokesperson for the company
Collaborate effectively with team members across departments
Follow all company policies, procedures, and safety standards
Complete all required paperwork and documentation accurately and on time
Attend all mandatory training sessions and pursue ongoing professional development
Perform additional duties as assigned by management
Fleet & Equipment Management:
Coordinate vehicle maintenance schedules, repairs, inspections, and cleanings
Maintain DOT compliance records and manage vehicle registrations and licenses
Monitor driver behavior using GPS tracking systems and provide reports to management
Track and manage vehicle inventory, including materials, shelving, and trade-specific builds
Prepare fleet vehicles for new hires and ensure proper stocking
Manage windshield repairs, toll sticker replacements, and detailing schedules
Maintain an updated log for service equipment and track year-end inventory
Process warranty returns and track equipment checkouts
Inventory & Material Coordination:
Order and track inventory for fleet and warehouse stock
Maintain and update the Inventory Catalog and internal tracking systems
Collaborate with technicians to verify material requirements for upcoming jobs
Issue purchase orders and manage vendor relationships
Ensure proper storage and organization of materials and equipment
Administrative & Technical Skills:
Manage repair and maintenance requests via Asana or related software
Provide regular reports on fleet and equipment status to management
Maintain basic knowledge of Plumbing, HVAC, and Electrical materials
Operate company vehicles safely and professionally
High school diploma or GED required
Valid driver's license and ability to operate company fleet vehicles
Basic math, reading, and computer skills (Microsoft Office and inventory software)
Familiarity with GPS tracking systems and fleet management tools
Understanding of Plumbing, HVAC, and Electrical materials is preferred
Ability to work full-time with occasional overtime as required
Strong attention to detail and organizational skills
Excellent communication and teamwork
Ability to follow written and verbal instructions
