Summary:
Under the supervision of the Facilities Supervisor, the Corporate Receptionist will serve as the first point of contact for any visitors to the office or anyone contacting the organization. Additionally, the Receptionist will maintain security by logging all visitors, issuing visitor passes, and will provide administrative support to the Facilities and HR team as required.
Essential Duties & Responsibilities
Answer incoming telephone calls; determine purpose of callers, and forward calls to appropriate personnel or department. Answer questions about organization and provide callers with address, directions, and other pertinent information.
Welcome on-site visitors, determine nature of business, and announce visitors to appropriate personnel. Ensure all visitors sign in, provide identification and are issued a temporary badge with appropriate access.
Contact vendors for services such as copy machine repair requests, pest control, document storage and shredding, property management issues, and the like.
Responsible for updating and closing Facilities Self Service requests from employees and preparing monthly report for review by Facilities Supervisor.
Responsible for managing all Facilities invoicing, inclusive of logging, coding and remitting payment.
Create employee name plate cards, request and update corporate office seat assignments for new hires and department transfers.
Place department supply orders.
Update reception training manual and provide reception training as needed.
Research topics as requested by management.
Other projects and duties as assigned.

Education and/or Experience:
High School Diploma or GED required.
0-2 years' reception experience on a multi-line switchboard.
Demonstrated knowledge and beginner proficiency working with Microsoft Office Suite software including Microsoft Word, Microsoft Excel, Microsoft PowerPoint and Microsoft Outlook.
Language Skills:
Ability to read, write and speak in English.
Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.
Ability to read and comprehend simple instructions, short correspondence and memos.
Ability to provide clear, concise and professional communication to employees at all levels across the organization.
Effective verbal and written communication skills. Ability to tailor content to the level and experience of the audience.
Ability to use multiple channels or means to communicate important messages (i.e. memos, meetings, electronic mail).
Attention to detail. Ability to develop accurate written materials.
Mathematical Skills:
Ability to add and subtract two digit numbers and to multiply and divide with 10's and 100's.
Reasoning Ability:
Ability to apply common sense understanding to carry out detailed written or oral instructions.
