Visitor Services Coordinator (Finance)
Serve as the Garden's primary representative for facility rentals including but not limited to photo permits, wedding ceremonies, private parties, receptions, clubs, grounds rentals, corporate events and photo shoots, ensuring a positive and timely rental experience to increase repeat business.
Develop new business and build earned income to meet or exceed annual budgeted revenue goals through the promotion and rental of portions of Queens Botanical Garden's 39 acres and indoor spaces.
Work with other staff to market the facilities, drive sales and create new rental opportunities such as rental packages, children's birthday parties, baby showers, bridal showers and memorials.
Develop and maintain relationships with outside vendors including photographers, caterers, hotels, wedding planners, bridal shops, florists and community liaisons as well as outside rental-related vendors.
Represent QBG offsite at various community meetings, bridal shows and expos.
Ensure that the Garden's guidelines are maintained during special events including, but not limited to, monitoring noise levels, garbage disposal, and restroom cleanliness.
Secure all vendor permits and insurance certificates to maintain compliance with local regulations and terms of rental agreements for safe and sustainable use of the facility.
Act as the primary liaison for the QBG Events Calendar and internal facility-use calendar. Arrange internal calendar for set up and break down of tables, chairs and other amenities for rentals and private events through interdepartmental communication.
Admission, Parking, & Visitor Services Operations
As needed, provide support to Visitor Services operations assuring that all aspects of operations are covered daily.
Supervise admission staff and admission/parking operations.
Maintain a supervisor-level understanding of QBG's admission policy, procedures and Garden rules.
Be knowledgeable at the supervisor level on all programs, events and rentals scheduled at the Garden as well as all earned income areas including the QBG Store, reception, concessions and facility rentals.
Sell memberships and be well versed in all membership benefits.
Use POS system at a supervisory level. Be able to train, program, enter data, and create manuals.
Supervise volunteers and interns in the Visitor Services Department
Work with others to improve and streamline admission and concession operations on event & festival days.
Assist with Garden-wide initiatives such as strategic planning, events, and press conferences as needed.
Provide feedback on visitor interaction and be involved with weekend coordination.
