Position Summary:

The events administration and finance manager provides financial and administrative operations direction for campus and community engagement and conference services. They are the lead administrative contact for solving complex project management problems, collaborative partnerships, and relationships to ensure the operations, administration, and financial needs of the department are met. They are responsible for processing all incoming and outgoing correspondence, file maintenance and archival, scheduling meetings for the senior director, and supervising the day-to-day operations of the senior director's office. The administration and finance manager oversees approval of all financial documents and transactions (including purchasing card and travel) and budget, ensuring compliance with university policy and procedure.

Hybrid position: This position is offered as a hybrid role, combining both in-office and remote work to provide flexibility and support collaboration. Typically, work includes 4 days in the office and 1 day remote. Per Rice policy 440 , work arrangements may be subject to change.

Hiring Range: Salary commensurate with experience and qualifications. This is an exempt (salaried) position under FLSA and is not eligible for overtime.

Minimum Requirements :

  • Bachelor's degree
  • Four years of related administration and finance professional experience.
    • In lieu of the experience requirement, additional related education, above and beyond what is required, may be substituted on an equivalent year-for-year basis.
  • Skills
    • Demonstrated ability to apply financial and analytical skills based on a firm

understanding of the mission, strategy, and operating principles for the department of campus events unit.
  • Demonstrated ability to work effectively with individuals representing a broad range of skills. Able to influence people, solve problems, trouble shoot, think creatively and resolve conflicts, building partnerships and cross- functional teams and collaborative relationships.
  • Demonstrated expertise in financial and budget planning and forecasting.
  • Excellent interpersonal, project management, verbal and written communication skills including presentation.
  • Excellent proficiency in Microsoft Office Suite and other business support resources.

Preferences:
  • Five plus years of related professional experience in administration, finance and events management.

Essential Functions:
  • Responsible for processing of all in-coming and out-going correspondence, file maintenance and archival, scheduling meetings for the senior director and supervise the day-to-day operations of the senior director's office which could involve managing personnel.
  • Function as events lead, approving or oversees approval of all financial documents and transactions, purchasing expenditures (including purchasing card and

travel) and budget; ensures compliance with policy and procedure as well as

guidelines upholding accounting standards to ensure the needs of the division are met.

  • Compose, edit, type and distribute correspondence, representing senior director at various meetings when called upon.
  • Work in collaboration with both internal and external contacts to providing excellent event project management including oral and written communication along with presentations.
  • Advises senior management on programmatic and policy development to ensure success.
  • Oversees allocation of financial resources including researching, monitoring and tracking all budgetary expenditures and strategic plans.
  • Research and prepare various reports as required by management.
  • Performs all other duties as assigned.
