Absence Management Specialist (Northfield, IL) (Administrative)



Job Summary

The Absence Management Specialist is responsible for the ongoing administration of Medline's absence policies, ensuring the effective coordination of all claims to include general administration, comprehensive case management, and program compliance with the Family and Medical Leave Act (FMLA) and all related federal, state and local leave, paid sick and disability laws. The Specialist is the day-to-day liaison with our external leave and disability vendor to ensure quality service and accuracy.

Job Description

MAIN RESPONSIBILITIES:

  • Serve as the subject matter expert for Medline's leave programs including short-term disability, long-term disability, military, Family and Medical Leave (FMLA) qualified absences, Americans with Disabilities Act (ADA) leave accommodations, parental leave and similar programs.

  • Provide guidance and assistance to employees, managers, and HR business partners on Medline's leave programs. Coordinate Medline leave programs that intersect with local statutory programs and requirements.

  • Process timely status updates in PeopleSoft. Audit and submit disability and parental leave pay files to Payroll. Assist with direct billing of benefit expense for employees on unpaid leaves. Research claims as needed.

  • Exercise discretionary oversight over the external leave and disability vendor to ensure proper claims processing. Audit and monitor vendor compliance with plan design, rate changes, vendor metrics and performance guarantees.

  • Oversee ADA accommodation process.

  • Research and make recommendations for the design of new absence management benefit policies, programs, practices, as well as provide recommendations in planning, development and implementation of program changes.

  • Provide training on leave process, disability plans and policies. Develop, deploy and train managers and HR on leaves and disability Standard Operating Procedures (SOP), and ensure protocols are being adhered to.

  • Design and create communication pieces and updates for online tools and resources in connection with leaves and disability.

  • Identify and implement improvements to leave programs and plans to drive efficiency, improve the customer facing experience and aide management in evaluating cost and competitive market placement.

  • Provide on-going and ad hoc reporting.

MINIMUM REQUIREMENTS

Education

  • Bachelor's degree in a business-related field.

Work Experience

  • At least 2 years of years of experience administering leaves and/or disability programs in a corporate environment.

Knowledge / Skills / Abilities

  • Knowledge of STD, FMLA, LTD plans and policies, ADA leave accommodations, and Workers' Compensation as related to integrating with leave and disability.

  • Ability to evaluate information to determine compliance with standards, laws, and regulations.

  • Must be efficient, reliable, and adaptable to change while maintaining productivity levels.

  • Strong service orientation.

  • Position requires maintaining confidentiality of sensitive information.

PREFERRED REQUIREMENTS

  • Benefit administration experience in a corporate environment.

  • Comprehensive knowledge of disability concepts, disability products, medical terminology, and claim management practices and principles.

  • Bilingual Spanish.

The anticipated salary range for this position:

$68,640.00 - $99,320.00 Annual

The actual salary will vary based on applicant's location, education, experience, skills, and abilities. This role is bonus and/or incentive eligible. Medline will not pay less than the applicable minimum wage or salary threshold.
