Administrative Assistant III (Finance)
Essential functions may vary widely depending on the team or leadership position is supporting. May include, but not limited to the following essential functions:
Administrative Support:
Provide day to day admin support to management/team and/or office
Calendar management and travel coordination
Ability to triage and prioritize tasks
Strong planning and organizational skills
Must be able to handle sensitive/confidential information requiring a high level of discretion
Must have excellent verbal and written skills
Must be able to work on diverse administrative assignments with competing priorities, including event planning management
Create and process invoices for payment, expense reports and purchase requisitions.
Coordinate logistics for internal and external meetings
Make restaurant reservations
Order marketing supplies for office and/or events
Liaison with recruiter to set up interviews
Onboard new hires
Office administration:
Reception desk coverage as needed to include: answering general phone inquiries and directing calls in a professional and courteous manner
Greet clients/suppliers/visitors to the organization in a professional manner
Assist with booking conference rooms
Back up to Admin Manager or DSM in their absence
Work on special projects with the Admin Manager/DSM
Sort incoming mail and courier deliveries for distribution
Handle all UPS/FedEx/USPS
Marketing/Events:
-Liaison with events team on Signature events and coordinate with respective regional Admin (you may be the regional admin) on all local events
-Manage all Sponsorship requests and ensure associated benefits are appropriately leveraged, that we have proper representation at the event, and assistance with the coordination of speaker/
-Manage industry event registrations
Facilities:
-Vendor management and cost analysis
-Coordinate the maintenance of office equipment with EUS and/or vendors
-Liaison with facilities, assistance with office space planning, remodels, oversee seating assignments
Position provides operational administrative support to senior professionals. Possesses intellectual curiosity to develop a strong command of SVB's business which will allow him/her to use judgment and experience to make independent decisions. A strong sense of urgency, the ability to think beyond the initial set of facts or issues, and a strong orientation towards self-reliance and resourcefulness will distinguish the best candidates. Works on assignments that are complex in nature where considerable judgment and initiative is needed in resolving problems and making recommendations. Exercises judgment within defined procedures and practices to determine appropriate action. Normally does not receive work instructions, may determine methods and procedures on new assignments. Overtime may be required.
