Office Manager (Finance)



This position is expected to perform a wide range of high-level office and administrative support duties for the Chairman and Department Administrator for the Department of Dermatology and Cutaneous Surgery. This position provides skilled and confidential executive administrative support for the Department and serves as a liaison between the Department, other Executive leadership offices within USF Health, affiliate hospitals and other external stakeholders.This position requires a high school diploma or equivalent, with six years of experience in office or administrative positions. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

Preferred experience would be a Bachelor's or Master's degree with experience working in a high-level administrative health office, experience as a personal assistant or experience in executive administration. Experience or interest in marketing and event coordination will be helpful in this role .

Degree Equivalency Clause: Four years of direct experience for a bachelor's degree.

This includes, but is not limited to: planning, prioritizing and scheduling meetings, appointments and conferences; managing the calendar of the Chairman; drafting letters and correspondences from the Chairman; serving as administrative support person for designated committees, work groups, task forces, and boards; creating agendas, maintaining meeting minutes, and communicating with internal and external stakeholders; assisting with travel such as booking logistics, arranging/coordinating travel and travel reimbursement for the Chairman according to institutional policies; coordinating multiple tasks and data collection to ensure timely completion of assigned projects; and researching data within appropriate deadlines, disseminating information for editing and compilation of final products for submission.

Department Administration: Responds to email, phone and scheduling requests and directs to other parties as appropriate; interfaces with faculty, staff, medical students and patients as necessary to fulfill job duties; responds to inquiries from the public; maintains necessary faculty and staff memberships and licensure to ensure good standing; and assists with conference scheduling, travel and reimbursements for all members of the department.

Strategic Planning and Growth: Assists with the planning and execution of Dermatology programs/meetings/conferences (educational, research, marketing); maintains active contact information for all Dermatology employees, alumni and students to provide pathways for continuous support/mentorship/growth; maintains dashboards for faculty for academic and clinical performance; assists with manuscript and research preparations and submissions and plays an active role in identifying and building synergistic relationships across USF and other institutions.
