Clinical Research Administrator for Sponsored Projects (Multiple Openings) (Finance)
We are looking for three Clinical Research Administrators who will be responsible for coordinating budget review and approval, coverage analysis preparation, Epic study creation along with patient billing review, and study monitoring/auditing for clinical trials and other clinical research studies conducted by university faculty. These employees develop and administer procedures designed to comply with appropriate regulations relating to the administration of clinical research. This requires a knowledge of how a research study works, and how to set up the correct billing variants which may be included such as patient charges, insurance claims, and costs passed off to the research project's budget. UTHealth is preparing to transition to Epic's electronic health record software, so any experience with Epic will be a plus for candidates. The clinical research administrators will help load studies into this new program, and will have to make sure it all works as it is supposed to as outlined by study protocols and billing requirements. They will also perform periodic audits of these processes, and also train clinical staff on how to correctly enter charges or research procedures.
This is full time role that is classified as exempt. You will be eligible for all UTHealth benefits including healthcare coverage and participation in a pension plan run by the State of Texas. Your office will be in the heart of the Texas Medical Center in our University Center Tower located at Fannin and Pressler. This building is located on both Metro's bus and rail lines, and has many options for parking or commuting.
ACCOUNTABILITIES:
1. Ensures proper identification of billing responsibilities through completion of billing risk assessments 2.Prepares and finalizes Medicare coverage analyses with proper CPT coding.
3. Coordinates with external vendor to complete coverage analyses for industry sponsored trials.
4. Reviews and analyzes documentation related to the clinical research project including, contracts, sponsor budgets, coverage analysis, financial reports to ensure proper and complete project budgeting and invoicing and to ensure compliance with sponsor, State, UT System, and institutional requirements. 5. Reviews and approves final study budget.
6. Ensures timely status updates are entered into the internal management system (START).
7. Creates and activates study accounts and calendars in the Epic (electronic medical record) system for all clinical trials as appropriate.
8. Ensures proper and timely research patient billing review and processing is completed through Epic and that billing is in accordance with the approved coverage analysis.
9. Trains study personnel in the use of Epic to add patients to studies and to process research bills.
10. Conducts regular monitoring/audits of study and billing procedures for randomly selected studies, prepares report of findings, and works with department to implement management plans to correct deficiencies.
11. Prepares final review of financial activity for each industry sponsored clinical trial at completion to validate all revenue received and expenses posted. Submits final report and balance transfer request to department and processes account closeout and balance transfer.
12. Interacts with and builds good working relationships with all parties involved in the management of clinical research. Addresses questions and resolves issues with department and study staff as needed.
13. Meets with researchers, faculty members and departmental administrators to provide updates and guidance on clinical research finance and administration.
14. Presents at on-campus trainings and forums to disseminate information related to changes in regulations or university policy to researchers, faculty, and departmental administrators.
15. Performs other duties as assigned.
Minimum Education:
At least a Bachelor's degree in Healthcare Administration, Business, Finance, Accounting, or related degree.
Minimum Experience:
Three (3) years of related experience including previous experience with clinical trials either as a coordinator or finance position.
Physical Requirements:
Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.
