Senior Administrative Assistant (Project Management)
Summary:
Provide executive support to the senior leader and multiple staff within the organization. Provide a broad range of highly skilled and confidential administrative support to ensure a smooth operation of the business leaders.
Function Specific Activities:
· Research, collect, compile and analyze a wide variety of complex data and information requests to prepare reports and presentations. Prepare and edit confidential correspondence, reports and presentations.
· Manage multiple assignments and deadlines of team members and maintain schedule of deliverables for internal/external presentations and work products.
· Optimize time management by giving consideration to organization wide due dates or deliverables that may compete with internal schedules and ensure relevant parties are aware of issues that need immediate attention.
· Manage multiple calendars, including scheduling meetings and appointments and resolving conflicts when competing priorities occur. Serves as coordinator for conferences and meetings.
· Screen/prioritize/direct incoming calls, email or other communications taking appropriate action as necessary. Resolve requests and escalate if necessary.
· Arrange complex and detailed travel plans, itineraries, and agendas; compile documents for travel-related meetings.
· Complete requested business errands such as obtaining catering, ordering office supplies, circulating mail, handling over-night deliveries, processing expense reports, coordinating machine maintenance and coordinating employee set up and moves.
· May be required to contribute to projects and activities not included in other principal accountabilities to assist in the accomplishment of business objectives and professional development.
· Create, organize and maintain files and records, both electronic and hard copy.
Qualifications:
· Strong organizational skills that reflect the ability to perform and prioritize multiple tasks from multiple requestors seamlessly with excellent attention to detail
· Prioritizes conflicting needs; handles matters expeditiously, proactively and follows through on requests or projects to successful, accurate completion, often with deadline pressures
· Very strong interpersonal skills and the ability to display a professional demeanor and professional appearance at all times
· Exceptional written and communication skills and the ability to organize and express ideas clearly in both oral and written form; ability to use sound judgment when communicating with others, ensuring tone of voice and style are appropriate, especially when interacting with senior leaders
· Takes personal responsibility for ensuring customer satisfaction and loyalty by demonstrating sensitivity and respect for others; refraining from immediate judgment and criticism; admitting mistakes
· Strong analytical and problem solving skills
· Ability to adapt to change and to learn new skill sets required
· Demonstrated expertise with Word, PowerPoint, Excel, Outlook, Internet research, video and web conferencing
· Highly resourceful team-player with the ability to develop a rapport with a variety of people; exhibits diplomacy and tact by focusing on situation/other's unique needs and adjusts style to modify impact; build collaboration within team and peer group and act as a resource or mentor to colleagues with less experience
· Must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion
· Previous experience working with C-Suite level executives
· Ability to complete work with minimal supervision
· Ability to work Monday through Friday from 8:00am – 5:00pm with ability and willingness to work overtime on an occasional basis to meet work demands
